CENTRAL KITCHEN · FRANCHISE OUTLETS

Hub-and-spoke logistics for a restaurant chain

The central kitchen is the hub. Each franchise outlet is a spoke. The outlet asks, the hub sends once, the outlet counts what arrived, and the hub accepts that count. Goods and shipment charges land on that outlet’s ledger.

In the app the screen is HQ supply. Head office and the franchise outlet each open it and see their own side of the same supply. An outlet that buys for itself keeps its own materials, purchases, recipes, and gross profit. The button names below are the ones on the screen.

Multi-Outlet needs Premium or Enterprise. Premium is ₹1,299/mo before GST and starts at 2 kitchens and 3 users. Enterprise starts at 5 kitchens and 10 users. Restaurant chains keep a distinct till at every door.

The outlet asks

Bandra asks for cheese and dosa batter. The step is Outlet requested. The shelf rate is already on the row. Price stays on Calculated until head office saves a supply price. Accept the request takes the ask. Save the price keeps a price the hub typed. The shipment amount can stay on the calculation, or head office can type one and press Save the amount.

A blank shipment amount is the supply price times the quantity. A typed amount is kept. A non-number is refused: the shipment amount is zero or more, and clearing it uses the calculation again.

Supply 117 in transit, with sending and counted quantities for cheese, coffee powder, and rice
Supply 117 is in transit. Courier, shipment charges on the outlet ledger, and the count next to what was sent.

In transit, with the count beside the send

Once head office has sent the supply, the step is In transit. The quantity, the prices, and the e-way number were saved on that send. A correction is its own save. Shipment charges sit on the outlet ledger. The outlet pays them.

Sending stays inside the pile the hub held when the request opened. Cap at the starting pile brings a high send back to that pile. Use the requested quantities copies the ask into sending. The outlet’s count is a separate column. Correct what was sent and Correct the price on 117 are later saves, each one on its own.

Walk every supply from one desk

Walk on Desk opens one supply by number, or lists the house. The row shows the outlet, the date, the step, and the delivered date when the goods have been marked. A request still on Outlet requested has not left. In transit has. Count accepted has already landed on the outlet shelf.

The outlet shelf, read only

Outlet shelf is what that door already holds. On hand sits next to reorder. A red row is at or below that outlet’s reorder point. Head office reads it. The outlet’s own purchases, recipes, and gross profit stay on that outlet when it buys for itself.

Logistics keeps the trip

A supply appears on the logistics register when it is sent, with status In transit. The row keeps the mode, the shipment charges, and the goods saved on that supply. Editing a mode later leaves these rows as they are. Shipment charges are on the outlet ledger. Head office does not pay them.

Proforma downloads from the row. Across the paper: for transit representation only, not a tax invoice. The e-way number is written when the shipment amount reaches ₹50,000. Below that, e-way on the row is a dash.

The outlet ledger

Books, then Ledger, is that outlet’s account with the hub. Each supply adds goods and shipment charges. A payment — cash, UPI, bank transfer, card, or cheque — brings the balance down. Pay on a supply starts at that supply’s goods plus its shipment charges. Clear the balance starts at whatever is still open.

Dispatch, then delivered

Open a row in transit to correct the dispatch. The consignment lines stay on this supply. Only the dispatch can change here: mode, carrier, freight, document, and delivery date. Freight zero is a free trip. A blank freight is refused until someone enters it. Save the dispatch keeps the journey. Mark delivered needs a delivery date on the sent day or later.

The delivery date is the logistics stamp. The count is a separate step. A first short count, once accepted, puts the counted quantity on the outlet shelf and leaves the difference as an open difference at hub cost. A later lower corrected count, once the hub accepts it, returns that difference to the hub shelf.

Prepare forecast of materials outlets are likely to ask from 17 Oct 2026 to 23 Oct 2026
Prepare. Likely asks for the next seven days, summed once per outlet and material.

Prepare, before the outlet asks

Prepare is head office only. The heading is the next seven days, today included: what these outlets are likely to ask, and the total to have on the hub shelf. It reads the last eight weeks. A weekday that has been asked at least twice uses the middle quantity of those days. Otherwise it uses the usual gap after the last ask. One request day is not a pattern. An ask already in today is left off today.

The forecast does not send the van. Sending, the count, and the payment stay on the supply. The Saturday story is prepare the central kitchen before the franchise outlet asks. The full button walk is the hub-and-spoke tutorial and the chain story.

Questions

Who pays the shipment charges?

The franchise outlet pays them. Freight is booked when the goods leave and sits on that outlet’s ledger next to the goods. Head office records the payment the outlet made. Head office does not pay the carrier.

Which plan runs Multi-Outlet?

Premium or Enterprise. Premium is ₹1,299/mo before GST and starts at 2 kitchens and 3 users. An extra kitchen is ₹499/mo and an extra user is ₹199/mo. Enterprise starts at 5 kitchens and 10 users. Basic cannot run Multi-Outlet.

Is the supply note a GST invoice?

No. Proforma says it is for transit representation only and is not a tax invoice. Each outlet’s guest bills keep that outlet’s own GSTIN. QuickKOT does not file GST returns and does not raise an e-invoice.
